A. Virtual Backgrounds
Employees may choose to use one of three main options for backgrounds during video calls: no background (the background must be appropriate and professional in nature), a blurred background, or a virtual background that meets the specifications noted below.
If an employee elects to utilize a virtual background during work-related video conferences, this policy requires these to have been approved by either a central or school communications function. Approved backgrounds may be downloaded via the Visual Identity and/or Brand Center:

Backgrounds during a video conference should never contain offensive, distracting, or inappropriate content. In certain circumstances, such as client meetings or presentations, employees may be required to use a specific background provided by the school, department, or institute to maintain consistency.
The selected backgrounds must not interfere with visibility or create visual distractions during meetings. Ensure the chosen background does not cause technical difficulties such as glitches or poor video quality.
B. Signature Blocks
Employees are encouraged to utilize and display their preferred names – including first and last names and preferred pronouns in the signature blocks of work-related video conferences. All employees must avoid using symbols, emojis, or excessive formatting to maintain a professional appearance.
C. Profile Images
Employees may only utilize images aligned with the professional nature of the video conferencing environment. Profile images should not contain offensive, discriminatory, or inappropriate images or comments. Images should accurately represent the individual using them, and employees must avoid using misleading or deceptive images.
D. Compliance
Non-compliance with the Video Conferencing Display Policy may result in disciplinary action.
